Create a field-by-field requirements matrix
Separate confirmed project requirements from preferences and open questions. Record material or acceptable families, application, exposure, format, thickness, dimensions, finish, edge, openings, support, attachment, quantity, tolerances, samples, mock-ups, tests, documents, packing, destination and schedule. Assign each unresolved item to the party responsible for deciding or supplying it.
Use evidence statuses consistently
Mark information as published, enquiry only, confirmation required, not published or not applicable. A catalogue term should not silently become a contractual requirement, and an unavailable test should not be represented by a generic value. When a supplier provides a statement, retain the document reference and review date so later revisions can be traced rather than copied without context.
Return approval to the responsible team
Specification support can make questions visible and improve quotation comparison, but it cannot decide structural loads, anchorage, substrate, waterproofing, movement, slip, fire, accessibility or code compliance. The final issue should identify the architect, engineer, fabricator, installer, testing laboratory or authority responsible for each technical acceptance.
