Define the sourcing target
State whether the brief requires an exact commercial name, a comparable visual direction, a geological family, a country of origin or a manufacturer-specific artificial surface. Add the intended application and non-negotiable criteria. If substitutes are permitted, define how appearance, dimensions, documents, performance and commercial scope will be compared so a visually similar proposal is not accepted by default.
Request evidence in proportion to risk
For natural stone, useful evidence may include current-lot imagery, samples, identity or origin documentation and applicable test reports. For manufactured products, request manufacturer identity, current technical documents, declarations, certificates, instructions and authorized media. The enquiry should mark whether each item is received, reviewed, outstanding or not applicable and should name the person responsible for approval.
Compare complete supply scopes
Record format, thickness, dimensions, finish, quantity, quality range, fabrication, inspection, marking, packing, destination, Incoterm, timing assumptions and quotation validity. A low headline price cannot be compared fairly when freight, taxes, fabrication, breakage allowance, replacement pieces or documentation differ. Written exclusions are as important as inclusions when the project team evaluates a source.
